Relay Labs

Privacy Policy

Data stewardship is a core responsibility. Every system we build embeds privacy and compliance from inception.

Effective Date: October 5, 2025

1. Scope

This Policy covers personal information processed through our professional consulting, automation builds, hosted dashboards, and related websites. Relay Labs acts primarily as a data processor for client business data and as a controller only for its own business operations and marketing.

2. Information We Collect

We collect business-related identifiers (names, emails, phone numbers, firm details), account credentials, billing data, communication metadata, system logs, and usage analytics. We do not intentionally collect sensitive data such as health, biometric, or payment-card information beyond invoicing details.

4. Use of Information

Data is used to: design and deliver automation systems and dashboards; authenticate users and manage client accounts; operate telephony, messaging, and AI functions; provide customer support and compliance assistance; invoice and collect payments; maintain security and fulfil legal requirements.

5. Sharing and Sub-Processing

Relay Labs uses trusted infrastructure and automation partners, including: Twilio (telephony & messaging), OpenAI (AI processing), GoHighLevel (CRM and automation platform), Supabase (database and auth), AWS S3 (storage), Resend (email), and other tools as listed in our Data Processing Addendum. These partners act as subprocessors under written agreements. Data is never sold or shared for advertising. Disclosure occurs only for legal compliance or corporate transactions.

6. Data Retention

Data is retained only as long as required to deliver contracted services or meet legal obligations, then securely deleted or anonymized. Retention schedules differ for implementation records, support tickets, and invoices.

7. International Transfers

Cross-border transfers use appropriate safeguards such as Standard Contractual Clauses and additional technical protections (encryption, access control).

8. Security

We employ layered safeguards: encryption at rest/in transit, access limitation, audit logging, and environment isolation. While no system is infallible, security controls are proportionate to risk and reviewed periodically.

9. Individual Rights

Where applicable law grants rights, individuals may request access, correction, deletion, restriction, or portability of their data. Relay Labs, when acting as a processor, forwards such requests to the relevant client controller. Contact privacy@poweredbyrelay.com to begin a request.

10. Children

Our services target businesses only and are not intended for individuals under 18. Any identified minor data is promptly deleted.

11. Dispute Resolution

Privacy-related inquiries should be sent to privacy@poweredbyrelay.com. Unresolved issues follow the arbitration procedures in the Relay Labs Terms of Service.

12. Policy Updates

We may revise this Policy to reflect regulatory or operational changes. Material revisions will be announced via email or client dashboard before taking effect.
